--Issue type: Inappropriate Variations Creation
Our account was deactivated dated 2020/4/28 because of our ignorant Variation Abuse by adding inconsistent child variations. What we initially did was merely separating all the variations, which was incomplete and inexhaustive, and we previously failed to provide a valid POA to address our issue.
Since after block, more than ten meetings were held and the last two were held with the attendance of our invited Amazon account manager Jessica Li under the guidance with Jessica Li, we thoroughly discussed our issue comparing the detailed articles and terms of Amazon ASIN creation policy, we now deeply realized that adding children products that are not actual variations of the parent product (e.g., newer version or model of product, different branded products, etc.) is completely wrong, we feel so shameful for this mistake.
We have made all effort to split and deleted the both the parent ASINS B086JP9PP3 B07RFPBB8K B07TKHTMDN. Furthermore, we thoroughly checked all the listings in our account, and split all variations in order to comply with ASIN creation policy, now there is NONE variation existed in our account (some are removed automatically). And if we could get our selling account back, we would only create parent-child variation relationships when they strictly comply with “ASIN Creation Policy”.

- ROOT CAUSE
(a) We added incorrect child variations that are not true variations of the parent product.
In our case, the added child product B083323RTN is the silicone baking set which is not the same product of the parent product. Now we know adding products that are fundamentally different from the parent ASIN is absolutely wrong and severely violated ASIN creation policy, the child product is a different product which should be listed individually. We now have deleted both the parent ASIN B086JP9PP3 and all the children ASINs.
(b) Besides, we wrongly used the variation theme "colour" for variation creation.
We used colour theme to create variation for different products, which should only be used to create identical products that vary only by colour
Moreover, we added wrong content in colour name, which has no relationship with colour
What we should do:
The profound and comprehensive learning of “Product detail page rules” and “ASIN Creation Policy” made us understand we should create unique listing for different ASIN. The way we abuse Parent-child ASIN Relationships was completely wrong and seriously go against amazon rules.
We will only create a variation for child products that only differ in colour or size, product with any other different beyond colour or size will NEVER be created together in a variation to prevent customer confusion and dissatisfaction.
--From above mistake analysis, we get the core reasons why we made above misconduct:
- As a small seller, we have 8 members, and we’re all devoted to our main business(selling of accessories), and when new employee(John) come to our company, we neglected to offer him adequate and comprehensive training on “Amazon ASIN creating policy”, which led this young guy did not understand this policy thoroughly and made this severe mistake during his listing creation job, which finally led to this crisis.
Due to severe lack of necessary knowledge on Amazon ASIN creation policy, the violation of variation was thus committed as John wrongly thought it would be easier for customers to navigate through Amazon pages and choose all colours if we assort them together. John explained in tears that he wrongly thought as long as the items were similar or linked in one way or another (such as accessory relationship), they could be considered as reasonable variations. And he also wrongly considered that it would attract customers more effectively if we assort Screen Protector and its accessories together under the same parent ASIN. After combination, we gathered more reviews, attract more customers and share positive reviews from buyers, which brought us more sales. How stupid the behaviour was!
- Besides, we lacked an effective account managing system to monitor our staff daily performance. As a small business owner, we previously focus more on sales and marketing, but failed to build an effective and systematic account managing operation to monitor our staff daily performance, especially for the new staff. After John finished listing creation, no one else responsible to check our listings to see if our performance perfectly complies amazon rules, variation policy etc. We thank you for the informing letter, and we realized that it is necessary and vital for sellers to obey Amazon’s Policies and rules.
As learned from this painful lesson, we deeply realized the importance for building an effective and systematic SOP to regulate our staff daily performance, and assigning responsible person for monitoring and supervising.
- We wish to apologize again for that we neglected your previous warning letters, due to lacking right understanding of Amazon selling policies, we initially didn’t understand why Amazon always delete our ASIN at that time, and then we relist them again, what a shame!!! We failed to consult with Amazon seller support for professional advice and acted blindly which finally led to our selling account being deactivated.
We are here to elaborate our misconduct and promise you that we will never make such stupid mistakes again!
--Stronger Actions we have taken to correct the variation policy violation: (LESSON LEARNT)
1.Reviewed the listings, DELETED all variations and listings and removed FBA inventory.
(1) Split variations and deleted listings.
Upon receiving your notification, we have carefully checked all the listings and inspected the misused ASIN variation,
What we initially did was to separate all the violating variations. But when we received your last notification, we decided to thoroughly clean up all ASINs with violation issues to cease any possible variation violation. Please refer to our inventory.
(2) Conducted profound checking of all the other listings on 2nd May and cleaned up all listings and Removed FBA inventory to remedy for our mistake in variation usage.
We checked all the other listings and decided to DELETE them all. We have also removed all the FBA inventory of these listings. If we were ever getting the chance to resell on Amazon, we would make sure that each and every product displayed to customers should holds the right variation and accurate product detail. We should always keep the “ASIN Creation Policy” in mind from now on.
For a hard work, We made above in order to make sure any incorrect variation was permanently deleted from amazon site, to make sure any product detail page containing wrong information was removed from amazon site to immediately stop the violations, to make sure all illegal variations were dispersed, eliminated and cleared.
- More than ten meetings were held from 28 April to now, focusing on discussing, addressing and preventing our variation violation issue.
The first meeting was held on 28th April 2020, the second meeting was held On May 7 and the last meeting was held on 25th May. The meeting was hosted by the operation leader (Calvin) and recorded by John- the staff who made the variation abuse. All 8 team members attend the meeting, and we thoroughly discussed our mistake and made a set of specific measures and related responsible staff to prevent similar mistake. We went further into our mistake and talked about how to be a qualified seller on Amazon if we could be given a second chance.
The following are the main content of the meetings:
(1) Analyse the emergency notice and amazon important call.
(2) Learning the related policy: “ASIN Creation Policy”,” Variation policy”, “Product detail page rules”.
(3) Find out the specific points caused incorrect variation, split and deleted all variations.
(4) Arranged staff to check all listings, deleted all the listings, cleaned up our account, removed inventory in FBA.
(5) Discuss how to prevent added ASIN to incorrect variation by adopting amazon policy compliance to KPI and designed SOP for ASIN creation.
3.We have provided all our staff with a systematic and effective training on ASIN Creation Policy, Variation Relationships and Product Detail Page Rules for all our 8 staffs.
We have taken a systematic and effective training for all our 8 staffs. All our team members carefully read, discussed, recited Amazon policies repeatedly, especially "ASIN Creation Policy", “Variation relationships”, “Product detail page rules”, “Condition guidelines” and “Prohibited seller activities and actions”. Below are some of the important points we have learned:
(1) We carefully learned amazon Variation policy and understand the following prohibited practices are misuses of variations (also known as parent-child relationships). They create a negative customer experience and can result in our ASIN creation or selling privileges being removed, and to always stay complied to this policy, we will always keep in mind to:
NEVER add incorrect child variations that are not true variations of the parent product. We will ONLY create a variation for child ASINs that ONLY differ in colour or size.
NEVER add incorrect variation to ASINs we created. If the child ASINs are completely different products or products that differ in not only colour or size, a variation for them will NEVER be created.
NEVER add products that are fundamentally different from the parent ASIN. We understand that hypothetically, we have these 3 products, a notebook, a gel ink pen and an eraser, although they all belong to office category, NEITHER 2 of them should be created in a variation.
NEVER add products that are newer versions or models of the parent ASIN. We understand if we have a notebook with 100 sheets, and a same notebook with 150 sheets, these 2 ASINs should NOT be created in a variation.
NEVER change the parent product's detail page so it does not match the children.We understand that even if the detail page of a parent ASIN can hardly be seen in buyer’s end, but to maintain amazon a trusted marketplace, we MUST make sure children ASINs share the same information on their parent product’s detail page, such as item category, brand name, manufacture etc.
NEVER add multi-pack variations that aren’t manufacturer-created to an already existing parent.
If we’ve created a multi-pack listing that is not directly sold by the manufacturer, we must match our listing to an identical multi-pack product detail page. If an identical multi-pack detail page doesn’t exist, we must create a new product detail page with its own unique UPC or EAN.
Adding multi-pack children by bundling two or more of the same manufacturer products, that is, bundling two three-packs to create a package quantity of six. Multi-pack children must be packaged by the manufacturer. If a customer wants to buy two or more of the same products, they can select that quantity for purchase.
(2) We understand that Variations are also known as parent-child relationships, which are sets of products that are related to one another. Good variation relationship listings allow buyers to compare and choose products based on different attributes such as size, colour, or other characteristics from the available options on a single product detail page.
So to make sure we can always create a good variation, we will only create variations for items that come in different colours such as a blue cup, a red cup and a green cup (these cups must be all the same but only differ in colour), and such as a small-sized shirt, a medium-sized shirt and a large-sized shirt (and these shirts must be all the same but only differ in size).
And our learning went on to elements of a variation relationship and we understand there are three components to a parent-child relationship:
Parent listing is the product listing is a non-buyable entity used to relate child products. Amazon catalog uses the parent listing to establish relationships between the child products. We will never change any information in a parent product listing and we will always make sure the children products and the parent product exactly match one each other.
Child products are the products that are related to each parent listing.
The child product is an instance of the parent product. We can have many child products that are all related to one parent product. Each child varies in some way, for example, by size or by colour. We will only create a variation for child products that only differ in colour or size, product with any other different beyond colour or size will NEVER be created together in a variation to prevent customer confusion and dissatisfaction. And we will create a new parent ASIN for these true child products, we will NEVER directly relate any child products to any existing parent.
Variation theme is the relationship between the parent and the child.
The variation theme defines how related products differ from each other. We understand that depending on the category chosen to list our products, variation themes also vary. For example, in the Clothing, Accessories & Luggage category, child products can differ from each other by size or colour, or package quantity; and child listings in Pet Supplies category can differ in flavour, scent, quantity, etc. So before creating a variation for any child products, and whenever we have doubts about if a variation could be created for certain products, instead of taking a risk of violation, we will immediately refer to amazon seller support for the most correct and informative answer.
After careful learning and knowledge acquisition, we understand that the best practices to shape a valid/correct/most accurate/acceptable variation relationship is:
NEVER list different products together.
NEVER use variation themes incorrectly;
We also understand that Amazon will remove product listings that do not correctly use established variation themes. And as a seller on amazon, to fully take our responsibility to always maintain amazon a trusted marketplace, we must always keep these regulations and policies in mind and always stay guided by and complied with them.
We will surely pay greater and greater attention to these policies to prevent incorrect/duplicate ASIN creation, to prevent incorrect variation creation that severely violates amazon selling policy that causes customer dissatisfaction.
- We have brainstormed further account management system to regulate our future daily activity in creating ASIN variations:
As for now, a few new rules were set, concerning the crisis:
(1) No new variations to be made during this moment (and for the next 3 months);
(2) As this lesson learned from this issue, we drafted a protocol about doing their job as per Amazon policies and every member in this team whatever she/he is common staff or a leader will sign on this protocol, or else, they will suffer relevant loss.
(3) Employee’s salary will differ as per their performance.
We will reward anyone who does excellent job on Amazon platform and Punish the one who violates the rules instead. If serious, he or she will be dismissed.
(4) Conduct regular training of Amazon ASIN creation policy one a week for all 8 staffs.
(5) Employees are clearly prohibited from:
Classify similar products as parent-child relationship, not the same product.
Use variations to classify different products as parent-child relationships.
Classify ASINs in the same category as parent-child relationships.
Create a variation, but the theme of the variation is not listed.
NEVER create a variation relationship between products that are not actually related to each other in order to boost a product’s star rating.
NEVER allow to create a product detail page for a product already in Amazon's catalog.
NEVER allow to add incorrect child variations.
- Established and adopted the standard operation procedures for listing creating to reduce human error in variation to be set up.
We’ve established the SOP for listing creation:
1) Future variation creation proposals must be double checked and counter signed by different team leaders.
2) Before creating a new variation, we’ll double check with our operation leader Calvin(who has more than 5 years working experiences in amazon, and is familiar with amazon selling policies such as ASIN creation policy, variation policy etc.) to understand the appreciate way of setting up our variation.
3) After creating a new variation, we’ll check with our operation leader Calvin and seller support again to ensure it complies with the amazon variation creation policy.
4) Our GM, Tang Xiang, will personally oversee how an ASIN or variations to be formed at random. He will lead the team in the process of ASIN and variation creation, approving/disapproving future ASIN/variation creation proposals.
- We sent two Senior employees (Tom and Liu Yang) take charge all job that relate with ASIN creation.
Since John cannot finish the ASIN creation job alone, we will arrange another two senior employees (Tom and Liu Yang) to take charge all job that relate with ASIN creation, in order to reduce human error rate to the minimum. Both Tom and Liu Yang are the experienced staffs who have 4 years working experiences on Amazon selling and operation, who never made mistake in variation creation, and in order to eradicate further any mistake, Tom and Liu Yang also need to confirm with each other for double check after future variation creation set up.
- Our GM, Tang Xiang, will personally enhance management and training regarding ASIN creation procedure.
This incident made us understand we are poor in account management; we lacked enough learning and training in ASIN Creation Policy. Thus, to prevent the further variation, Our GM, Tang Xiang, will personally enhance management, who have 6 years selling experiences in Amazon and is proficient in Amazon policies and rules, are to enhance the management by organizing regular training of ASIN Creation of all 8 staffs. All team members are educated never do below:
We will not to add invalid variations to parent ASIN.
We will not create product detail pages with invalid variation.
We will not create separate listings for identical copies of the same item. Individually listing the same item several times is confusing for buyers and frustrating for other sellers.
We will not change the parent product's detail page so it does not match the children.
We will not create a product detail page for a product already in Amazon's catalog.
We will never add multi-pack variations that aren’t manufacturer-created to an already existing parent.
We will not use product detail pages to cross-merchandise or cross-promote a product.
We will not create a variation relationship between products that are not actually related to each other in order to boost a product’s star rating.

- In order to guarantee all our variations set up comply with Amazon ASIN creation policy, there will be regular system training courses concerning ASIN creation policy, variation policy etc.
All staff are required to attend all these courses. It is the most important to cultivate their sense and enhance their knowledge of Amazon ASIN creation policy to avoid the similar issue.

- Besides inner regular system training courses, we also will invite an experienced experts George Gao from Amazon to support and guide us and we’ll join seller university.
1) we will frequently invite an experienced experts George Gao from Amazon to train our employee’s relevant policies of Amazon, so that our employees can get the most clear, latest and most timely information.
More importantly, this experienced George Gao is very familiar with Amazon ASIN creation policy, variation policy etc. And he would be involved in our daily work instructions and supervision so as to eradicate our further repeat violation of variation policy.
2) We’ll join in amazon seller university to gain insight into the Selling on Amazon marketplace, tools and policies for sellers, and the products and services that can help us swiftly grow our business with this curriculum of instructional videos.
3) Moreover, We’re going to subscribe to Amazon's official training program to ensure our correct understanding of Amazon policy, we firstly will do inner training, and based on the learning situation, we plan to subscribe to Amazon's official training program to ensure our correct understanding of Amazon ASIN creation policy, ASIN creation limit, Variation Policy, Duplicate ASIN creation policy etc.
“Attitude determines the altitude”, by careful studying the Amazon ASIN creation policy and other Amazon policies, we have confidence that our staff will fully master the knowledge and regulations about variations. And we will eradicate the same mistake in future.
- Also, there will be exam to help us to raise employee’s attention and the result will be added into their KPI.
These training courses will be taken into videos for further reference and training parts of our staff training system. The first test has been finished on April 16th and next test will been held on May 10th.
All employees especially the new staffs must attend the test. The examination is divided into written tests and actual practice. The written test is mainly for the amazon variation policy out of the test paper, the full score of 100, qualified above 90 points, unqualified below 90 points. Unsuccessful employees are not allowed to upload variations. The practical operation will have a one-to-one tutorial system to practice, each variation building steps are 100% compliance with variation policy, otherwise, it is not qualified and cannot uploaded on amazon. Only those who pass both the written and practical tests are allowed to upload the variations.
We will reward the staff who does excellent job on Amazon platform and Punish the one who violates the rules instead. If serious, dismiss him/her immediately.
- We will update our new hire guide to ensure this variation policy is clearly communicated to the new hires to ensure not only our current staffs understand this policy but all our new hires will have the same understanding to avoid making any further mistakes on variation creation policy.
- We will establish supervision team to make inspection of all created ASINs and listings.
The responsible members in the team are Calvin, Helen and Mona. We had successfully established a professional team made of several very experienced amazon’s sellers who all have been selling with amazon for nearly 5 years, Calvin is the leader of this team, who has more than 6 years operation experiences on Amazon site. The expected result of setting up this team is that all our new created listing can be compliant with Amazon policies and rules.
(1) They will be responsible for checking our employees daily working activities on seller account to prevent any violation on amazon policies or any risks that might cause violation or amazon selling policies or customer complaints.
(2) They will be responsible for checking all our future ASIN creation to make sure it’s not a duplicated ASIN that already exist on amazon site, if any of such an ASIN was found, it will be immediately deleted from amazon.
(3) They will be responsible for checking all our future listings to ensure that the UPC, EAN, ISBN, ASIN, or JAN code of each listing uses is appropriate and correct, if any listing that contains incorrect information above, the listing will be immediately closed and instead of making changes on own, will immediately contact amazon seller support for help to make the most correct, precise and legal amendments.
(4) They will be responsible for checking all our future listings to make sure each product we sell are correctly categorized in an accurate and precise category. Any product that is not correctly categorized, the listing will be closed immediately and will immediately contact amazon seller support to solve the problem and have the product corrected into a correct and precise category.
(5) They will be directly responsible for detailed operations on creating a variation on amazon for products that are identical but only differ in colour/size. At the same time, they will also STRITLY train all our other employees in this regard about how to create a CORRECT, PRECISE and TRUE variation. At the same time, they will STRICTLY train us to have a very deep and profound understanding in amazon variation creation policies. For example, we currently have a thorough understanding that a variation shall only be created for products that only differ in colour or size, we understand that comparing to a certain product A, a same product with a single accessory (a slightest extra in addition to the product) must be listed as a individual ASIN B and must NOT be created as child with product A in a variation.
- A special rule for “How to create ASIN with Variation” will be adopted so as to avoid the repeated violation of variation policy in future.
(1) Use accurate classification for every product and make sure that every listing have a Category (Item-type).
Choose accurate classification for every product and make sure that every listing have a Category (Item-type) and are assigned one that is accurate to avoid reduce sales of the listings, because I know that buyers have a more difficult time finding them using search or browse due to item listed in an incorrect location. Our account manager is charge of identify and fix the listings that are not correctly classified.
(2) Use the appropriate UPC, EAN, ISBN, ASIN or JAN code.
We will use the appropriate UPC, EAN, ISBN, ASIN or JAN code when listing a product. The codes must be reliable data that can be used to match our products to existing products in the catalogue. We will strictly obey Amazon’s rule and create all new listing with our own ASIN and UPC or EAN. We won’t add other seller’s existed UPC or ASIN or EAN in our own new listings. If the UPC or EAN happened to be used already by other sellers, there will have warning with different colour words, we will delete them directly, and use a new unused UPC or EAN.
(3) Use template for adding products via upload.
The listings with variations are easy to be broken when the network speed is slow. We will teach our salesperson upload products use template. All new listings are planned to be created via upload. It not only can avoid misusing variations, but also greatly improving the work efficiency.
(4) Request a brand or SKU-level UPC exemption.
If the product that we are listing has been confirmed to have no known UPC, EAN, ISBN, ASIN or JAN code, and if we are listing a unique selection, we will request a brand or SKU-level UPC exemption according to Amazon’s requirement.
(5) Don’t list items against detail pages for different products.
When we list refurbished or used products, the condition must be clearly described according to our Condition Guidelines. Besides, sellers are not allowed to create separate listings for identical copies of the same product.
(6) When we create variations for some listings, they must be the same products. Meanwhile, we will only create variations with colour and size under the correct parent and no longer mix models and styles in the wrong listings or add new version product into old variation families.
7.We will enhance consultation with Amazon if we are not sure about the right variation.
We feel much shameful that we failed to respond timely to your previous warnings. With the assumption that such violations were not serious, we still put our focus on sales and marketing. We forgot that notification from Amazon is meaningful and suggestions from Amazon are most professional. If we turn to Amazon for help timely, situation will be different today. From now on, we will closely stay with Amazon in our future work.
If we have any selling questions, one staff, Tommy is assigned to consult Amazon Seller Support for help. For new products to be listed in the future, we will consult Amazon carefully if there is any uncertainty instead of listing and selling them blindly.
- To use Amazon station advertising to promote our product rather than using any wrong ways at the risk of closing our account (just as the painful lesson we learned in the variation abuse). We’ll widely collaborate with Amazon, including Amazon advertising and Amazon’s logistics etc.
When promoting a new product, we will get early reviews through the VINE project, create an amazon AD group, automatically target group, manually target group, and even VIS to drive more traffic, take advantage of lightning deals, promotions, and Prime Exclusive Discounts to get more customer conversions, rather than taking short cuts in variation abuse.
- Based on the suggestions from Amazon account manager, we will adjust KPI by adding amazon policy compliance to avoid our employee pursuing sales performance while ignoring the compliance of Amazon variation policy in their future work.
- In addition, we will more actively monitor our account health condition every day to assure we are meeting the standards set by Amazon.
Calvin is appointed to check our account performance in relate to ASIN or variations creation on each Friday, to make sure the activities in that week is in compliance with Amazon ASIN creation policy and selling policy. If any wrong variation found, Calvin will report timely and held immediately meeting to make discussion and make corrections accordingly.

For example, a manufacturer updates its streaming media player by introducing a new remote control with four buttons instead of two buttons on the old remote. This is materially different from the previous version and must be listed as a new ASIN.

We’ve conducted profound checking of all the other listings on May 2nd and cleaned up all listings and Removed FBA inventory to remedy for our mistake in variation usage.
We checked all the other listings and decided to DELETE them all. We have also removed all the FBA inventory of these listings. If we were ever getting the chance to resell on Amazon, we would make sure that each and every product displayed to customers should holds the right variation and accurate product detail.
We would only create parent-child variation relationships when they strictly comply with “ASIN Creation Policy” and “Product Detail Page Rules”.

Size name: will revise the inappropriate size name to correct size name
Variation theme: choose appropriate variation theme: colour, size or colour-size.
Dear Amazon, we are sorry again for the happening of ASIN Creation Policy violation.
